Privacy Notice - Healthy Families group programme

This is a privacy notice for participants on HENRY’s Healthy Families group programme who want to know more about how HENRY processes their personal information and about their data rights. HENRY’s general privacy policy can be found here.

Introduction: HENRY

HENRY is the data controller for personal data about participants on its programmes for parents and carers, including the Healthy Families group programme. HENRY is a registered charity (Company No. 6952404; Charity No. 1132581) based at: 6 Elm Place, Old Witney Road, Oxfordshire, OX29 4BD.

HENRY processes personal data for a range of purposes, which are detailed in this privacy notice. We believe that all these purposes are justified on the basis of our legitimate interests in running and promoting the charity. The exception is for direct marketing via email or telephone, which we carry out on the basis of consent.

We do not trade personal data for commercial purposes and will only disclose it if required by law or or with your consent.

HENRY does not use personal data from the Healthy Families group programme for the purpose of automated decision making or profiling.

Your personal data

We ask you to share a range of personal information with us during the Healthy Families group programme. Below we explain what information we process, how it is used, how long we keep it, and whether we share it with anyone else.

Paper questionnaires

When you attend the Healthy Families group programme, you are asked to complete a paper questionnaire about your family’s lifestyle at the start of the programme and again towards the end. These questionnaires are mailed to HENRY’s national office where they are stored securely and confidentially.

In these questionnaires we collect your name, contact details (email address and telephone number), information about your family’s lifestyle and demographic information (sex, age, ethnicity and postcode). We use this information to evaluate the impact of the programme on families who take part and to provide evidence of its effectiveness.

Name and contact details

We use your name and contact details to send a personalised message with a link to a follow-up survey about 6 months after the programme finishes. We also use your name to match your answers at the start of the programme, towards the end, and again about 6 months later, so that we can understand how families’ lifestyles change over the course of the programme.

With your consent, we also use your name and contact details to send occasional emails such as HENRY info updates, surveys and fundraising appeals. You can withdraw your consent at any time – either by using the Unsubscribe option when we contact you, or by emailing info@henry.org.uk.

We use a third party service, MailChimp, to email you. MailChimp uses servers that are based in the US, therefore your name and email address is transferred outside of the EEA (European Economic Area). Personal information processed by MailChimp is protected under the EU-US Privacy Shield. For more information, please view MailChimp’s privacy policy.

Information about your family lifestyle

This information helps us to understand how the Healthy Families group programme affects participants’ lifestyles. We keep this information with your name for up to 12 months after you attend the Healthy Families programme. After 12 months, this information is anonymised, so that no one can be identified, and stored indefinitely for statistical and research purposes.

This data is only used in ways which do not identify participants.

Demographic information

This information helps us to understand who attends the Healthy Families group programme and how it affects different groups of people. We use this information to improve the programme, make it more accessible, and to help make the case for funding. For example, we might look at the ethnicity of participants on the programme when deciding on what languages we should translate the programme into to make it more accessible.

We keep this information with your name for up to 12 months after you attend the Healthy Families programme. After 12 months, this information is anonymised, so that no one can be identified, and stored indefinitely for statistical and research purposes.

This data is only used in ways which do not identify participants.

Online follow-up survey

About 6 months after you complete the Healthy Families group programme, we will contact you with an online survey about your family’s lifestyle. In this survey we collect your name, contact details (email address and telephone) and information about your family’s lifestyle. We use this information to evaluate the impact of the programme on participants and provide evidence of its effectiveness in the long term.

We use a third party service, SurveyMonkey, to manage our online survey. SurveyMonkey uses servers that are based in the US, therefore your personal information (name, email address and family lifestyle information is transferred outside of the EEA (European Economic Area). Please note, SurveyMonkey treats your survey responses as private and does not use the data for any purpose. Name and contact details

We use your name to match your survey answers to your answers in the earlier paper questionnaires, so that we can understand how families’ lifestyles change over time after completing the programme.

Participants who complete the online survey are entered into a prize draw. If you win, we will use your contact details to let you know and to make sure you get your prize.

With your consent, we also use your name and contact details to contact you with news about HENRY. You can withdraw your consent at any time – either by using the Unsubscribe option when we contact you, or by emailing info@henry.org.uk

Family lifestyle data

This information helps us to understand how the Healthy Families group programme affects participants’ lifestyles in the long term. We keep this information with your name for up to 12 months after you attend the Healthy Families programme – so about 6 months after you complete the online survey. After this period, this information is anonymised, so that no one can be identified, and stored indefinitely for statistical and research purposes.

This data is only used in ways which do not identify participants.

Your data rights

As an individual whose personal data is processed by HENRY, you have the following rights:

  • The right to be informed which is the purpose of this privacy notice
  • The right to access the data we hold on you
  • The right to rectification if information we hold on you is inaccurate
  • The right to erasure, in some circumstances, of the data we hold on you
  • The right to restrict processing of information we hold on you
  • The right to data portability, if applicable

    • to direct marketing – by clicking the Unsubscribe option or by contacting us directly
    • to processing of your data on the basis of our legitimate interests
